 Position Summary

The Procurement & Logistics Officer at GS Group Uganda executes the daily end-to-end supply chain, procurement, and materials management activities for our construction projects. Operating at the intersection of office administration and active building sites, the role processes purchase requisitions, issues purchase orders, coordinates vendor bidding processes, and monitors local inventory levels to prevent project delays.

 S/he collaborates closely with site engineers and subcontractors to verify material specifications, tracks deliveries to ensure they arrive on time and within budget, and provides critical data entry support for fleet and logistics operations. Ultimately, the Procurement & Logistics Officer ensures cost-effective sourcing, strict adherence to Ugandan procurement regulations, and seamless logistical support to drive successful project execution.

 Major Duties & Responsibilities

1. Sourcing & Supplier Coordination

  • Maintain the vendor database and update supplier files.
  • Conduct initial screening and evaluation of new vendors.
  • Coordinate routine communication with existing suppliers.
  • Assist in negotiating standard terms with local vendors.

2. Operations & Purchase Execution

  • Process purchase requisitions and issue purchase orders (POs).
  • Follow up on material delivery schedules for construction sites.
  • Prepare tendering and bidding documents for review.
  • Compile supplier bids and prepare comparison sheets.

Transactional Cost & Budget Tracking

  • Track procurement expenditures against project budgets.
  • Verify supplier invoices against POs and delivery notes.
  • Identify opportunities for routine cost savings.

4. Inventory, Logistics & Fleet Support

  • Monitor stock levels at construction sites.
  • Coordinate local delivery dispatch and tracking.
  • Prepare documentation for clearing and freight forwarding.
  • Provide administrative data entry for the fleet management section.

5. Quality Assurance & Compliance

  • Ensure all transactions comply with local procurement policies.
  • Verify that incoming materials match quality specifications.
  • Escalate supplier delays and shortages to senior management.

About You

Education:

  • Bachelor’s Degree in Procurement/Logistics/Administration/Accounting or related field.
  • Experience and certifications in Procurement & Logistics, Clearing and Freight forwarding.

Experience:

  • 5+ years’ experience in construction procurement.
  • Experience managing fleet/logistics.
  • International project experience.

Additional Skills

  • Knowledge of Uganda procurement rules and regulations.
  • Supply Chain Management; efficient sourcing, vendor negotiation, and logistics coordination.
  • Cost Estimation & Budgeting; expertise in managing procurement costs and financial planning.
  • Contract Administration; understanding procurement laws, agreements, and compliance.
  • Inventory Control; tracking materials, stock levels, and optimizing usage.
  • Procurement Software; proficiency in tools like SAP, Oracle, Procore, or Microsoft Dynamics
